Overview
The Role is for a Project Administrator working within the Bouygues BSF Projects Team for Redstone Converged Solutions.
The Project administrator will have specific experience in providing administration to the design and project delivery team, covering all aspects of the BYUK Framework agreement that includes IP based Physical Security and data cabling solutions that are implemented in the education environment.
The Project administrator will ensure that detailed proposals for all solutions that form part of the BYUK framework are produced in accordance design procedures and following the PCR provide administration support to the project delivery teams.
The Project administrator will work closely with the design & project delivery teams and will be embed into the BYUK team, providing regular reports, meeting minute’s time management and coordination for the design resource.
Role and Responsibilities
- Production of technical proposals & quotations in accordance with design procedures
- Preparation of PCR packs in accordance with operations procedures
- Issue documentation to BYUK
- Control Documentation issued to BYUK
- Update Sales logix for all project revisions
- Update SAGE for project materials
- Support design manager and coordinate design team diary
- Support the Project Delivery team and coordinate diaries accordingly
- Attend weekly internal design & operational reviews to track progress
- Produce meeting minutes and weekly progress reports
- Ensure that all client requests are logged and allocated in a timely fashion
- Ensure project folders are set up correctly and documentation is saved in accordance with departmental procedures.
- Plan and organise client meetings and produce formal meeting report from meeting notes.
- Log any none compliance and customer issues
Relevant experience & training

Experience in using costing & quotation tool sets

Key relationships
Internal
Project Design Manager – provide
accurate reports to design manager for design progress and status.
Design Consultants - assist in the production of detailed quotations and the preparation of information for PCRs in accordance with departmental procedures.
External
Other (Internal & External) -
Liaise with all staff and external agencies as required, providing
accurate information and providing support to internal departments i.e.
sales, systems design & operations.
Client – Ensure that
Client requirements are met and serviced within agreed time frames.
